Parts
Parts coordinator (Puerto Rico)

Main Responsibilities:
-
Responsible for taking all orders for the Parts Department.
-
Determines parts and parts numbers by searching authorized vendors’ websites.
-
Provides quotes to external and internal customers, including labor costs.
-
Follows up and updates with customers on quotes, pricing and shipping status.
-
Submits customer’s information to appropriate departments to create customer’s profile on SAGE.
-
Supports sales by recommending related parts, maintenance and company’s services.
-
Requests Purchase Order # to Purchasing Department for order placement and pricing.
-
Provide commercial invoices for shipments that requires local, international and/or regional export, schedules pickup and provide tracking updates to customer.
Requirements:

At least 6 months of experience working in Auto Parts Sales or a similar role.

Must be bilingual (English and Spanish)

Microsoft Office (Excel, Word) Skill

Projects
Project coordinator (Puerto Rico)

Main Responsibilities:

Monitor the daily progress of ongoing projects and ensure alignment with objectives and timelines.

Provide detailed updates and reports to project managers and key stakeholders.
-
Ensure all team members have the necessary resources and supplies to complete their assigned tasks on time and within budget.
-
Organize and maintain project documentation, including reports, invoices, contracts, and financial records, for easy and accurate access.
-
Plan and coordinate meetings, schedules, and overall project logistics.
-
Perform billing, bookkeeping, and administrative support tasks as required.
-
Conduct site inspection visits when necessary to monitor progress and compliance.
-
Track resource utilization and proactively report any potential issues or delays to project managers.
-
Verify that all project deliverables meet established quality standards and client expectations.
-
Provide comprehensive administrative support to project managers and team members to facilitate efficient workflow.

Manage the procurement and ordering of office and project supplies as needed.
Requirements:

Training & Education
-
Bachelor’s Degree in Business Administration, Project Management, Engineering, or a related field.

Fluency in both Spanish and English, spoken and written.

Licensure and/or Certification
-
Technical certificate or equivalent coursework in project coordination or management.

Proficiency in Microsoft Project or similar project management tools.
-
Certified Associate in Project Management (CAPM) – Preferred.

Professional Experience
-
Experience managing office operations, coordinating schedules, and providing project-related administrative support to team members.
-
Previous experience as a Site Coordinator or Assistant Project Manager, preferably in construction or technical projects within the energy or industrial sector.
-
Demonstrated ability to handle sensitive projects and confidential information with discretion and professionalism.
